Hospitality (Optional)

Responsibilities and Duties for Hospitality chair

  • Chair shall attend all meetings of the Meeting/Convention Committee and keep the Convention Chair advised of all progress/problems.
  • Provide food/drinks for the hospitality room with as many donated goods as possible.
  • No outside food or drinks may be taken into any meeting room.
  • Have members available during hospitality hours to act as hostesses and to help clean up. 
  • You may wish to coordinate an ice-breaker type activity.
  • Contact businesses and individuals for donations.
  • Confirm donations one week prior to Meeting/Convention.
  • Arrange for pick-up, delivery and storage of donated goods.
  • Work with the Prize Drawing Chairperson to send thank you letters to all donors (if applicable, tax receipts).
  • Submit a list of all donors (including members) to Program Booklet Chair one month prior to your event.
  • Record all expenses and submit for reimbursement as necessary by deadline.
  • File final report by deadline set by Convention Chair.
