- Chair shall attend all meetings of the Meeting/Convention Committee and keep the Convention Chair advised of all progress/problems.
- Provide food/drinks for the hospitality room with as many donated goods as possible.
- No outside food or drinks may be taken into any meeting room.
- Have members available during hospitality hours to act as hostesses and to help clean up.
- You may wish to coordinate an ice-breaker type activity.
- Contact businesses and individuals for donations.
- Confirm donations one week prior to Meeting/Convention.
- Arrange for pick-up, delivery and storage of donated goods.
- Work with the Prize Drawing Chairperson to send thank you letters to all donors (if applicable, tax receipts).
- Submit a list of all donors (including members) to Program Booklet Chair one month prior to your event.
- Record all expenses and submit for reimbursement as necessary by deadline.
- File final report by deadline set by Convention Chair.
